Overview
The Buyer's Assistant supports the buying team by assisting with the purchasing process, supplier communication, and administrative tasks. The role ensures smooth operations within the buying department as well as managing cross departmental projects and tasks
Key Responsibilities
Product
- Liaise with suppliers to obtain product information, pricing, and delivery timelines.
- Prepare purchase orders and ensure accurate data entry in procurement systems.
- Compile price increase sheets and competitor price analysis
- Prepare product briefs
- Managing product registrations and renewals with suppliers, nutritionists and consultants
- Coordinate sample management, including requesting, receiving, and organizing product samples.
- Support the Buyer with market research and competitor analysis.
Imports
- Import payment requests and tracking
- Track import orders, including obtaining shipping quotes, monitoring delivery schedules, and ensuring timely receipt of goods.
- Address and resolve any delivery or quality issues with suppliers.
- Ensuring that import permits are applied for and that freight forwarders receive the original import permit and health certificate
Project Management
- Run weekly project meeting
- Updating Project Tracker when new tasks need to be added and follow ups need to be done
General
- ​Perform essential administrative tasks, including document management and report preparation, to support the smooth functioning of the team.
- Communicate with internal departments including logistics, marketing, stores, and finance to ensure smooth product flow.
- Manage ad-hoc queries and perform other administrative duties as they arise
Skills and Qualifications
- Previous experience in purchasing, administrative, or retail environment.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office (Excel, Word, Outlook)
- Detail-oriented with a high degree of accuracy.
- Ability to work under pressure and meet deadlines.
- Team player with a proactive attitude.
